“Will this adapter work with the camera I bought last year?” The shop can answer, but the chatbot may need a model number or a colleague's judgment. Sending the same product link again does not move the customer forward.
A useful WhatsApp support setup knows when to stop answering and start a handover. Give the customer a clear route to a person, give that person the question already asked, and decide how an unanswered case gets followed up.
Draw the answer boundary first
List the product, price, offer and order questions your team can support with dependable information. Then list questions that need judgment: uncertain compatibility, a disputed delivery, a damaged item or an exception to your return policy.
Treat an uncertain answer as unresolved. Do not make a confident promise about compatibility or a refund simply to keep the conversation automated. The customer needs an answer your business can stand behind.
Begin with a small set of common questions whose answers the team can verify. Expanding the answer set is useful only when the underlying information stays current.
Make reaching a person obvious
WhatsApp's Business Messaging Policy allows automated responses during the customer-service window while requiring a prompt, clear and direct escalation path. Its listed paths include human transfer, phone, email and web support. A merchant should choose a route it can actually staff.
For example: “I need our store team to check this model. Please share the model number; our support team will take it from here during our published support hours.” Use only hours and commitments your team has agreed. A message saying “someone will reply soon” is not a staffing plan.
Keep a visible alternative contact route for times when a conversation cannot be resolved in chat. Do not promise round-the-clock service unless it is genuinely available.
Write a handover card for one unresolved question
Use this as a working record for your pilot; it is not a claim about fixed software fields:
- Customer question and relevant product or order reference.
- What the chatbot already answered and what remains uncertain.
- Minimum extra information needed; avoid collecting sensitive payment or identity details in chat.
- Named team or person responsible for the next action.
- Agreed follow-up time, support hours and alternate contact route.
- Final answer or resolution, who confirmed it and whether the customer still needs help.
In the adapter example, the missing model number belongs in the handover. The customer should not need to explain the entire purchase again to each colleague. If the issue moves from product advice to a return request, update the owner and next step rather than declaring the case closed after a transfer.
Test a question the bot cannot finish
HyperMarketing offers a hybrid WhatsApp support desk: the chatbot handles supported product, price, offer and order questions, and other conversations can reach people through configured tickets and reminders.
Use the pilot to test that boundary. Ask one answerable question, one ambiguous question and one request for a person. Inspect what the customer sees, what the responsible colleague receives and what happens if that colleague does not act. Agree ticket and reminder configuration during setup; human handoff is not a substitute for assigning staff.
Repeat once outside support hours. A reminder can help organise work, but it cannot make an absent team available. Record any missing context or unowned case before you invite more customers into the channel.
Keep later messages within the right workflow
On the WhatsApp Business Platform, a free-form reply is allowed within the 24-hour service window opened or reset by the user's message. Outside it, messages require an approved template. Business-initiated messaging also follows the applicable permission and opt-out requirements. A service conversation is not blanket permission to send promotions.
For that distinction, read order updates and promotional messages. Keep the support pilot focused on finishing the customer's task.
The practical gain is continuity: your team spends its next reply resolving the uncertainty rather than rediscovering it. That gives supported automation room to handle routine questions while people focus on the decisions that need them.
Yearly Tradexa subscriptions include the agreed setup and free owner/team training. Ask the onboarding team to run your unanswered-question test. Post-sales support follows your plan and pre-sales agreement; it does not mean Tradexa staffs your customer-service desk.
